How MK Events Supported 657 Attendees at Lean TWI Summit 2026

A two-day conference, an extensive agenda, parallel tracks and hundreds of attendees. During the third edition of Lean TWI Summit, the organiser used the MKonferencja event management system at several stages of the attendee journey—from ticket sales and communication through a mobile app to on-site check-in and badge label printing.

The implementation included four connected solutions:

  • the MK Events mobile app,
  • an online ticket sales form,
  • a reception app,
  • an on-site label printing system.

This allowed attendee data to be used throughout one consistent process, both before the event and during on-site guest services.

About the event

Lean TWI Summit 2026 took place in Wrocław, Poland, on 9–10 June 2026. It was the third edition of a conference for practitioners and leaders interested in Lean Management, Training Within Industry, artificial intelligence, leadership, Toyota Kata and the Theory of Constraints.

The event combined presentations, practical case studies, workshops, thematic sessions and networking. The third edition attracted almost 700 attendees. The organiser also published its overall event results: an NPS of 79, an average recommendation score of 9.33/10 and an atmosphere rating of 4.81/5.

The challenge: a consistent attendee experience from ticket purchase to conference check-in

At a conference of this scale, the programme is only one part of the experience. The processes attendees encounter before and during the event are equally important:

  • purchasing a ticket and submitting their details,
  • accessing essential event information,
  • being identified efficiently at reception,
  • receiving a personalised badge,
  • staying up to date throughout the conference.

Managing each of these stages with a separate tool would require transferring data between systems, create additional work for the event team and increase the risk of errors. The organiser therefore chose to use several components of MKonferencja as part of one connected process.

The solution: four components of the MKonferencja event management system

1. Online ticket sales form

The ticket sales form was the first point of contact between attendees and the system. It supported conference registration and collected the data the organiser needed to deliver the event.

The form also marked the beginning of each attendee’s digital journey. Information submitted during the purchase process could be used at subsequent stages—in the attendee database, the mobile app and the reception workflow.

2. MK Events mobile app

Conference attendees received access to the event through the MK Events app. After downloading the app and entering the event code, they could access content prepared specifically for Lean TWI Summit.

The app served as a mobile information hub for the conference. Attendees could keep essential information close at hand without searching through emails, printed materials or multiple websites.

3. Reception app

On the conference days, the system supported the team responsible for on-site attendee services. The reception app made it possible to search for attendees and verify them using QR codes.

Information collected earlier through the ticket sales form was available during check-in. The reception team could therefore work with an up-to-date attendee database instead of paper lists or separate spreadsheets.

4. Badge label printing

The label printing system was an integral part of the reception workflow. Once an attendee had been found in the database or their QR code had been scanned, the team could print a self-adhesive label and place it on a pre-prepared badge.

Printing labels on site makes it possible to prepare badges according to the current attendance list. This is particularly useful for late registrations, changes to attendee details or people who ultimately do not attend the event.

One connected process instead of several independent tools

The main value of the implementation was the connection between the successive stages of attendee service:

ticket purchase → attendee database → MK Events app → check-in → badge label printing

The organiser did not have to assemble this process from several independent solutions. The ticket sales form, attendee app, reception app and label printing system worked with a shared attendee database.

For attendees, this created a consistent experience—from registration to collecting their badge. For the organiser, it provided greater control over attendee data, attendance records and the on-site reception process.

Results

The MKonferencja system supported an event attended by almost 700 people. The implemented solutions enabled the organiser to:

  • sell tickets and collect attendee data online,
  • use one attendee database throughout the event process,
  • provide event information through a mobile app,
  • verify attendees during check-in,
  • operate the reception desk without paper attendance lists,
  • print personalised badge labels directly on site.

The results published by LeanTrix—an NPS of 79, a recommendation score of 9.33/10 and an atmosphere rating of 4.81/5—relate to the event as a whole, including its programme, organisation and attendee experience. Event technology was one of the elements supporting the successful delivery of a conference of this scale.
